What is Complete Project BOM Supply

A Bill of Materials (BOM) or Material Take-Off (MTO) for a process plant or pipeline project typically contains thousands of line items spanning dozens of commodity types: flanges, pipe fittings, fasteners, gaskets, valves, instrumentation, structural supports and more. Traditionally, EPC procurement teams issue separate enquiries to multiple specialist vendors for each commodity group — a process that creates significant procurement overhead, introduces supplier coordination risk, and complicates documentation management across dozens of partial-supply MTCs.

RR Hydraulics provides complete project BOM supply — a single-source procurement model where your entire piping hardware MTO (or a defined scope of it) is processed, quoted and delivered by one supplier with one consolidated documentation package. This dramatically reduces procurement overhead, eliminates inter-supplier coordination, consolidates EN 10204 MTCs into a single document set, and provides a single point of accountability for delivery schedule and quality.

Key Advantage — Single-Source BOM Supply vs Multi-Vendor Procurement

In a typical EPC project with 5,000–50,000 BOM line items across 15–30 commodity groups, managing separate vendor qualification, separate RFQs, separate purchase orders, separate expediting, separate inspection programmes and separate documentation compilations for each vendor multiplies procurement cost and schedule risk. Single-source BOM supply from RR Hydraulics reduces this to one RFQ, one purchase order, one expediting contact, one consolidated inspection programme (where applicable) and one documentation package — delivering both procurement cost reduction (typically 15–25% of procurement overhead) and schedule risk reduction through unified lead time management and a dedicated project supply coordinator.

Our 4-Step BOM Supply Process

1
BOM Receipt & Review
Submit your MTO spreadsheet or BOM list in any format (Excel, PDF, piping class extract, PDMS/SP3D export). Our technical team reviews every line item, flags ambiguities, identifies missing specifications and returns a clarification list within 24 hours. We check material grades, pressure classes, standards compliance and documentation requirements before quoting — not after.
2
Consolidated Quotation
A single consolidated quotation covering every BOM line item, with unit prices, pack sizes, lead times, documentation levels (3.1 / 3.2 / TPI) and coating options clearly stated per line. Alternate materials and value-engineering options highlighted. Delivery schedule by commodity group. One document, one point of contact.
3
Purchase Order & Production
Single purchase order accepted covering all commodities. Dedicated project supply coordinator assigned. Regular expediting reports (weekly or bi-weekly per client preference). Mill test certificate tracking from the day of order — not from the day of dispatch. Early notification of any lead time variances with proactive mitigation options.
4
Delivery & Documentation
Consolidated shipment with a single documentation package: all EN 10204 MTCs, test reports (PMI, Charpy, hardness, NDE, coating QC), packing lists and traceability records in a single controlled document set. Electronic and hard-copy formats. Tagged and labelled per client tag system. ISPM-15 packing for all wood packaging on international shipments.

Documentation Levels

RR Hydraulics supplies documentation at the level appropriate to the project specification and service criticality:

  • EN 10204 3.1 — The standard documentation level for most onshore process plant, utilities and non-critical process service. The material test certificate is issued by the manufacturer's own quality department and certifies chemical composition, mechanical properties and applicable standard compliance. Covers the majority of carbon steel and stainless steel commodity supply.
  • EN 10204 3.2 — Required for offshore, sour service (NACE), safety-critical, alloy steel (F11/F22/F91) and exotic alloy supply. The MTC is issued by an independent third-party inspection (TPI) body — Bureau Veritas, DNV, Lloyd's, SGS, TÜV — which has witnessed the testing and countersigned the certificate. Every EN 10204 3.2 MTC from RR Hydraulics includes the TPI inspector's name, stamp and certification number.
  • NACE MR0175 / ISO 15156 Compliance — Hardness survey of finished product cross-sections per NACE limits; separate hardness report issued per heat. For HIC-resistant grades, NACE TM0284 test report with CLR/CTR/CSR values. For duplex grades, ferrite content measurement per ASTM E562.
  • PMI (Positive Material Identification) — 100% PMI by XRF on all stainless, duplex, alloy steel and exotic alloy items. PMI report listing individual readings for every component, not sampling. Critical for offshore projects where alloy substitution risk is high.

Inspection and Test Plan (ITP)

For offshore, NACE sour service and safety-critical projects, RR Hydraulics prepares a project-specific Inspection and Test Plan (ITP) for each commodity scope. The ITP defines: (1) the inspection hold points (H) where work stops until TPI approval; (2) witness points (W) where TPI attends but work may proceed if TPI is not available within an agreed notice period; (3) review points (R) where documents are reviewed but no physical witness is required; and (4) the documentation required at each stage. The ITP is submitted to the client's project quality team for approval before fabrication/procurement commences.

Approved TPI agents used by RR Hydraulics for EN 10204 3.2 witness: Bureau Veritas (BV), DNV GL, Lloyd's Register, SGS, TÜV Rheinland, Intertek, Apave. TPI agent selection is per client preference or project specification requirement.

Project Types Served

Greenfield EPC Projects

New-build refinery, petrochemical, gas processing, LNG, power generation and chemical plant projects — where the complete piping hardware BOM must be procured from the detailed engineering phase through to mechanical completion. RR Hydraulics can engage at the front-end engineering (FEED) stage to advise on piping material class specifications, material grade selections and documentation requirements, ensuring that the BOM is optimally specified for both performance and procurement efficiency before the full MTO is issued.

Offshore Topsides and Subsea Projects

Offshore platform topsides and subsea production system projects require the highest level of material qualification (EN 10204 3.2 with TPI), NACE compliance, PMI and documentation control. RR Hydraulics' offshore project experience covers NORSOK M-630 specification compliance, Shell DEP, BP ETP and operator-specific piping material class requirements. Dedicated offshore project supply coordinators manage documentation, TPI scheduling and expediting for offshore scopes.

Brownfield Expansion and Modifications

Expansion, debottlenecking, rerouting and modification projects at existing plants typically have complex BOM requirements — matching existing piping class specifications (which may be decades old), accommodating obsolete material grades and standards, and integrating new piping into legacy systems. RR Hydraulics' technical team reviews legacy piping class documents and current standards to identify equivalent modern grades, ensuring seamless integration of new materials into existing systems.

Turnarounds and Maintenance BOMs

Plant turnaround BOMs — covering all flanges to be broken, all gaskets to be replaced, all bolts to be renewed and all spectacle blinds required — are time-critical procurement exercises where late delivery of any item delays the turnaround and costs the plant operator tens of thousands of dollars per hour of extended shutdown. RR Hydraulics specialises in turnaround BOM supply with compressed lead times, pre-kitted bolt sets tagged to equipment numbers, and priority despatch on confirmed orders. Contact our team as early as possible in the turnaround planning cycle — ideally 6–12 weeks ahead of the scheduled start date for standard materials, and 12–20 weeks for exotic alloys.

How to Submit Your BOM

  • Email your MTO directly to sales@rrhydraulics.com — attach your BOM spreadsheet, piping class documents and project specification in any format (Excel, PDF, CSV, PDMS/Smart Plant 3D export)
  • Use the enquiry form on this page to describe your project and our team will contact you to collect the BOM data
  • Request a technical meeting — for large projects (>1,000 BOM line items), a kick-off call with our project supply team and your procurement and engineering teams allows us to clarify documentation requirements, agree material grades and establish the supply schedule before the formal RFQ is issued
  • Provide as much detail as possible: piping classes, pressure rating, material grades, NPS ranges, service conditions (NACE/non-NACE, temperature, pressure), coating requirements, documentation level (3.1 or 3.2), and TPI agent preference
  • For urgent or time-critical enquiries, mark your email subject as "URGENT BOM — [Project Name]" and we will respond within 4 hours
